The Role
You will oversee the delivery of multiple features and projects, many of which involve dependencies on external partners, clients, or vendors.
You will own the overall delivery schedule — including timelines, dependencies, commitments, and critical paths — and ensure that both internal and external stakeholders have a clear and accurate view of project status.
This role focuses on delivery management rather than product or technical decisions. Product owns the requirements, Engineering owns the technical design, and you own the delivery plan, timelines, dependencies, and communication needed to ensure projects stay on track.
What You Will Do
Delivery & Schedule Management
-
Own delivery plans across active features and projects, including timelines, dependencies, milestones, and critical paths.
-
Collect and confirm delivery commitments from team members at the beginning of each feature or project and track progress against them.
-
Monitor project progress closely through Jira and other work records, identifying potential delays early.
-
When delivery dates are at risk, work with Product and Engineering leadership to evaluate trade-offs between scope and timelines, ensuring decisions are made and properly documented.
-
Establish and maintain a consistent delivery rhythm, including weekly status updates, risk reviews, and regular progress check-ins.
-
Keep project timelines, tracking documents, and status information accurate and up to date.
External Stakeholder Management
-
Act as the primary day-to-day contact for clients, partners, and vendors regarding project schedules and delivery.
-
Align deliverables, milestones, and timelines with external stakeholders and track them alongside internal commitments.
-
Proactively follow up on external dependencies such as system access, test accounts, data, approvals, and sign-offs.
-
Communicate changes to timelines or scope proactively, clearly explaining the impact and updated delivery plan.
-
Prepare and facilitate project status meetings with clients and partners, followed by clear written summaries of decisions, action items, owners, and deadlines.
-
Support project planning with external parties by defining milestones, responsibilities, dependencies, and expected delivery dates before execution begins.
Reporting & Visibility
-
Prepare a concise weekly delivery report for leadership covering:
-
Completed and delivered work
-
At-risk items and reasons
-
Current blockers and responsible parties
-
Decisions or actions required
-
-
Maintain a reliable view of all commitments made to external stakeholders and track whether they remain on schedule.
AI & Process Automation
-
Use AI tools regularly to improve delivery management efficiency, including drafting status reports, meeting notes, stakeholder updates, and project plans.
-
Use AI to summarize Slack discussions, Jira activity, risks, and dependencies to support faster decision-making.
-
Build and improve lightweight automations that collect project status from tools such as Jira, GitLab, and Slack and consolidate the information into delivery reports.
-
Validate AI-generated information before sharing it with stakeholders and remain accountable for the accuracy of all project communication.
-
Share effective AI workflows with the broader team and help Product, Engineering, and QA teams adopt these tools effectively.
What We Look For
1. Strong Delivery Awareness
You can identify potential schedule risks early by reviewing project plans, dependencies, and task progress.
You proactively question what a delivery date depends on and recognize when work has stopped progressing before it becomes a major issue.
2. Accurate & Proactive Communication
You communicate delivery risks and delays as soon as they become known, clearly explaining the impact and next steps.
You understand that accurate status reporting is critical to maintaining trust with both internal and external stakeholders.
3. Effective Use of AI Tools
You regularly use tools such as ChatGPT, Claude, Copilot, or similar AI tools in your day-to-day work.
You can demonstrate how AI has improved your productivity or the quality of your work, whether through reporting, planning, process improvement, or automation.
You also understand common AI limitations, such as incorrect dates, invented information, or inaccurate summaries, and verify outputs before they are shared.
4. External Stakeholder Management
You have experience managing delivery with clients, partners, or vendors who are not directly under your management.
You can maintain strong working relationships while ensuring external parties remain accountable for agreed timelines and deliverables.
5. Understanding of Software Delivery
You do not need to be a software engineer, but you should understand common software development concepts and delivery processes.
You should be comfortable with concepts such as technical specifications, merge requests, deployments, environments, and release processes, and know what questions to ask when delivery estimates or progress are unclear.
6. Clear Written Communication
You can communicate project status, meeting outcomes, risks, and follow-up actions clearly and concisely.
Strong written communication is important as much of the team's coordination happens asynchronously.
7. Comfortable with Delivery Tools
You are comfortable working with tools used for software delivery and project tracking, particularly Jira.
You should also be able to understand and critically review project timelines, dependencies, and Gantt charts.

-
Regular hands-on experience using AI tools in your work, with examples of how they have improved productivity or delivery quality.
