Role Overview

We are seeking an experienced Operations Manager to lead and streamline daily operations at our Manila office. This role plays a key part in ensuring operational excellence, regulatory compliance, and smooth coordination with our China-based headquarters. The ideal candidate is a Mandarin Chinese speaker with a strong background in operations and cross-functional leadership.


Key Responsibilities

1. Operational Oversight

  • Supervise day-to-day office functions including documentation, meeting coordination, and procurement.

  • Review and refine standard operating procedures (SOPs) to enhance workflow efficiency.

  • Ensure all operations align with local laws and internal compliance standards.

2. Cross-Department Collaboration

  • Serve as the communication bridge between the Philippines office and HQ in China.

  • Support onboarding and training efforts for new hires in the local team.

3. Vendor & Facilities Management

  • Manage contracts and relationships with service providers including office leases, IT, and maintenance vendors.

  • Monitor operational budgets and negotiate favorable service agreements.

4. Compliance & Risk Management

  • Maintain up-to-date knowledge of Philippine labor and business laws.

  • Handle urgent operational issues such as audits, licensing matters, or system incidents.

5. Administrative Coordination

  • Safeguard and maintain company records, stamps, and sensitive documents.

  • Coordinate logistics for internal events, staff travel, and client meetings.


Qualifications

Education:

  • Bachelor’s degree in Operations Management, Business Administration, or a related field.

Experience:

  • Minimum of 5 years in operations or administrative roles, ideally within multinational or large Philippine organizations.

  • Proven experience working with Mandarin-speaking teams or counterparts is required.

Skills:

  • Fluent in both Mandarin Chinese and English, with excellent communication skills.

  • Proficient in Microsoft Office and enterprise tools (ERP, OA systems).

  • Strong analytical, organizational, and multitasking abilities.

  • Familiarity with local labor and corporate compliance regulations is highly preferred.
